Q: What is an
“Official” Transcript?
A: All transcripts that we produce in
response to a student’s request are “Official” as
far as we are concerned. They all are on special
paper with the Registrar’s signature, the date and
the school seal. Any transcript that we provide to
the student will also indicate “PICKED UP BY
STUDENT”. Some agencies do not consider these to be
official. Be sure to check with the agency that
wants the transcript to see what they consider to be
official. Most schools will accept transcripts that
are issued to the student only if they are placed in
an envelope that is sealed and has the Registrar’s
signature over the seal of the envelope. We will
provide them in this manner if you request that your
transcripts be issued in Signed and Sealed
Envelopes.
Q: Can I get an unofficial
transcript for my records?
A: You may request a transcript for your
records, but you will have to pay the $7.00 fee and
it will actually be an Official Transcript Issued
“To Student”. With respect to unofficial
transcripts, they are available only to currently
enrolled students. If you are a current UTA student,
you may obtain an unofficial transcript only
if you visit our office in person (Room 129, Davis
Hall).
Q: What kind of special handling
is available?
A: We will place the transcripts in
separate signed, sealed envelopes to mail to the
student upon request. If the transcript is being
sent to a foreign government that requires it, we
will notarize the transcript before we mail it as
long as you indicate this in your request. If you
have forms that need to be completed and mailed with
the transcript, we will do so. However, we cannot
send official documents from other sources with our
transcripts. You will have to send them separately.
Q: Do I have to order two transcripts
to get my UTA undergraduate and UTA graduate records
sent?
A: UTA transcripts are complete records of your entire enrollment at UTA. Transfer credits from other universities will not be included on an official transcript from UTA. We do not issue partial transcripts that contain a student’s undergraduate work or graduate work records only.
Q: Can you guarantee when I will
get my transcript?
A: It depends on how you request the
transcript. The turnaround time for a web order is
typically the next business day unless you have a
hold. The turnaround time for mail orders is
typically five business days but this is not a
guarantee. Frequently it will be less than five
business days, but occasionally, depending on the
time of the year, it will be more. We make every
effort to keep our turnaround within the five days.
This does not include the time it spends in the mail
after it leaves our office.
Q: If I pay the express mail fee with
the transcript fee, am I guaranteed to receive my
transcript the next day?
A: In most cases, you should get it the
next day if you selected in your order Federal
Express Next Business Day service (Next business day
delivery time depends on the location the transcript
will be delivered to. For example remote locations
within the continental US may take 2 days; delivery
to Alaska or Hawaii may also take 2 days; delivery
to international locations may take between 48 to 72
hours).
If you forgot to sign your request, or if there is a
problem with your record that prevents transcript
issuance, such as a hold, we will not release the
transcript until the problem is resolved. This is
why it is important to include in your request a
means of contacting you.
Next Day
Express Mail delivery is provided via Federal
Express (FedEx) and the order MUST be done via
our online service.
Express Mail orders are picked up by FedEx every
business day by 4 p.m. If your Express mail delivery
order is received after 4:00 p.m., it will be picked
up by FedEx the Next Business Day.
International addresses can take 3 to 5 days.
Q: Will you let me know if there
is a problem in processing my request?
A: If you ordered your transcript on the
Internet, you will receive notification either by
e-mail or by fax depending on how you set up your
order. If you mailed in your order and you provided
a phone number in your request, we will call you to
tell you about any problems. If you provide an
e-mail address we will also attempt to contact you
by e-mail as well.
Q: What if my record has a
“hold” on it?
A: If your record has a hold, transcripts will not be issued until the hold is removed.
Q: Will you issue my transcripts
then bill me?
A: The transcript payment must accompany the transcript request. When the payment is received, the transcript will be produced. If you make payment via the web, your credit card will be billed after the transcript is sent.
Q: Can I have my transcript faxed
to someone else and mailed to myself?
A: No. We do not fax
transcripts.
Q: Can I have my transcript faxed to
myself at work but mailed to my home address?
A: No. We do not fax transcripts
Q: What happens if I only provide a
fax number in my request,
and not the mailing address?
A: Your order will not be entered.
Q: If I
apply to a new UTA program through the Office of
Admissions, do I need to order my prior UTA
transcript to be sent to UTA Admissions?
A: No. If the
application indicates that previous transcripts need
to be sent to UTA Undergraduate or Graduate Admissions, you do not need to
request your UTA transcripts to be sent there. When
the Office of Admissions is ready to review your
previous work at UTA, they can do by accessing that
data in the Student Information System. No actual
transcript needs to be requested.
